Privacy Policy

Effective November 2025

1. Introduction

At Jiffi, we take privacy seriously. We handle personal information in line with the Privacy Act 1988 and the Australian Privacy Principles. This policy explains what information we collect, why we collect it, how we use it, and the steps we take to protect it.

2. What We Collect

During our work with you, we may collect personal information that supports payroll setup, point of sale systems, workforce management tools, HR platforms, and related business processes. This can include names, contact details, employee information, timesheet data, payroll data, business information, and other details required to deliver our services.

We usually collect information directly from you or your authorised team members. In some cases, we may collect information through integrated systems that you have approved.

3. How We Use Your Information

We use personal information to deliver our services, support your operations, improve your systems, and maintain the performance of our website. We may also use your information for general business purposes including service improvements, internal analytics, customer experience insights, and product development.

If we introduce marketing activities, such as newsletters or targeted content, we will only send marketing communications with your permission, and you can opt out at any time.

4. When We Share Information

We may share personal information with trusted third party service providers who help us operate our business, support our services, or improve our website experience. This may include hosting providers, technology partners, analytics tools, communication platforms, and other service providers required to deliver or enhance our work.

We only share what is necessary and require these providers to handle information securely.

If we introduce marketing or analytics tools in the future, we will update this policy to reflect how those tools operate and how you can manage your preferences.

We may also share information with third party platforms used by you or your business, such as payroll, HR, WFM, or POS systems. This happens only with your approval and only for the purpose of delivering the services you have requested.

5. Website and Analytics

Our website may collect basic technical information to help us understand site performance, improve user experience, and maintain security. This can include standard server logs or analytics data gathered by our hosting provider or other tools that support site optimisation.

We currently do not use marketing cookies or behavioural tracking. If we introduce analytics or marketing tools later, we will update this policy and let visitors know how to manage their preferences.

6. Security Measures

Protecting your information is a priority. We use secure tools such as 1Password for password management and two factor authentication for critical systems. Access to client data is limited to authorised staff, and we maintain internal processes designed to safeguard information. While we follow strong security practices, no method of online transmission or electronic storage is completely secure.

7. Access, Correction, and Deletion

You can request access to the personal information we hold about you at any time. You can also ask us to correct inaccurate information or delete information that is no longer required. To make a request, use the contact details at the end of this policy.

8. Opting Out

If you choose not to provide information that is essential for service delivery, we may be unable to complete certain work. We will always explain what information is required and why.

If you receive marketing communications from us in the future, you will be able to opt out at any time.

9. Data Retention

We keep personal information only for as long as it is needed to deliver our services or meet legal requirements. When information is no longer required, we take steps to destroy or de-identify it unless the law requires us to keep it.

10. International Storage

Jiffi does not directly transfer personal information overseas. Some third party systems used by you or your business may store or process information outside Australia. We will let you know where relevant and encourage you to review the privacy policies of any platforms you choose to use.

11. Making a Privacy Complaint

If you have concerns about how we have handled your personal information, please contact us. We will review your complaint and respond within a reasonable timeframe.

If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner.

12. Updates to This Policy

We may update this policy from time to time to reflect changes in our practices, including the introduction of analytics or marketing tools, or changes in our legal obligations. The latest version will always be available on our website.
